TERMS AND CONDITIONS

1: Please read these terms and conditions carefully as they incorporate the basis upon which reservations are accepted by The Gallery Accommodation Limited

2: Making a reservation automatically accepts all the terms and conditions outlined hereunder. The Gallery Accommodation Limited reserves the right to change and/or modify any of these terms and conditions at any time without notice and such changes will become effective immediately. Please check these terms and conditions periodically for changes. The effective date of these terms and conditions is 1st July, 2019.

AMENITIES AND PERSONAL COMFORTS

3: The accommodation at The Gallery Accommodation Limited is self-contained and serviced daily, unless otherwise requested. Breakfast is included in the tariff. Sheets and towels are replaced every fourth night or by request.

4: Professional laundry service on request. Note there is a 36 hour turn around on the laundry service.

ARRIVAL/DEPARTURE

5: Check-in/arrival time is from 14:00 (2:00PM).

6: Check-out/departure time is prior to 10:00 (10:00AM). If the hotel is fully committed on the departure date, late departures or extensions not already confirmed will not be permitted.

APARTMENT TYPES & OCCUPANCY LIMITS

7: The Forest Suite: is a one-bedroom single level apartment on the ground floor. The bedroom has a super king bed that can be split into two king single beds. This apartment is suitable for a couple or 2 single people with the main bed split. The Forest Suite sleeps a maximum of 2 people. No additional bed can be added.

8: The Forest Suite is recommended for anyone with mobility issues or with many or large bags due to the availability of wide doors, level entry and easy ground level access.

9: The Cloud Suite: is a one-bedroom 2 storey apartment on the 2nd & 3rd levels of the building. The bedroom has a king bed on the top floor that can only be accessed via a narrow loft style internal stair. The apartment is suitable for a couple only. No additional beds can be added.

10: The Cloud suite is not recommended for anyone with mobility issues or with many or large bags due to the loft style stairways into the apartment (external and internal)

11: Entire property reservation: both apartments can be rented as a single dwelling by opening the ground floor door between the Forest & Cloud Suites. The building is suitable for two couples or a couple and two friends or for a family with two children.

12: Children: Children over 12 years of age are permitted to stay only if the entire property is rented.

CREDIT CARD PRE-AUTHORISATION

13: For all reservations a $200.00 refundable bond is required upon arrival. This covers any damage that may occur to the apartments during the occupied dates.

14: Bank charges apply to any payments made by credit card.

SUITE & PROPERTY DAMAGE

15: The guest who is registered at check-in/arrival will be held accountable for any damage to the apartments, its contents or the grounds during the stay dates.

16: The registered guest will be liable for damages caused (including those by third parties visiting the suite) which will result in forfeiting any deposits, pre-payment and also may be subject to additional charges depending on damage.

17: We reserve the right to process any charges in addition to accommodation to the presented credit card supplied at check-in/arrival.

18: In the event payment by credit card fails for any reason the Guest agrees to pay the balance within 7 days of being notified in writing of the payment required by the Agent.

CANCELLATIONS

Booking Conditions and Cancellation Policy.

19: This policy applies to all reservations not subject to the Peak Time Booking Cancellation Policy.

20: All reservations require a deposit of the first night’s tariff to confirm reservations.

21: Cancelation more than 7 days out from arrival- No charge.

22: Cancelation less than 7 days out from arrival- Deposit forfeited.

23: Cancelation less than 48 hours from arrival or no-show-Deposit forfeited plus 50% of tariff of total nights booked.

Peak Time Booking Conditions and Cancellation Policy.

24: Peak Periods – 21st December until 31st January, holiday weekends and statutory holidays.

25: Guests will be informed that the period they have requested is a Peak Time Booking.

26: All reservations require a non-refundable deposit of the first night’s tariff to secure booking.

27: Cancelation less than 48 hours from event or no-show-Non-refundable deposit plus balance of tariff of total nights booked.

CAR PARKING

28: You agree to park your car at your own risk in the designated parking for each apartment.

29: The Gallery Accommodation Limited does not accept any responsibility for damages or loss to your property or property belonging to someone else.

EMERGENCY SERVICE FEE

30: The registered guest agrees to pay any Emergency Service Callout Fee charged for false alarms.

31: This includes circumstances relating to smoking and cooking inside of the room where the smoke alarm is triggered. Guests are advised to use the range hood when cooking.

EVICTION OF A GUEST

32: The Gallery Accommodation Limited may evict a guest or visitors without warning. Guests who are evicted from the apartment will be blacklisted from The Gallery Accommodation and we may choose to notify the police.

33: A guest is subject to such eviction should the following (but not limited to) occur:

34: Intoxication and unsavoury behaviour.

35: Overcrowding- when the number of persons in the suite exceeds the capacity (see maximum capacity per suite table)

36: Physical or verbal assault towards accommodation representatives, residents or other guests.

37: Wilful damage to The Gallery Accommodation Limited property.

38: Any incident for which the police need to be called onto the premises.

39: Any behaviour posing a safety threat to others.

40: Ignoring advice to reduce excessive noise (music or other noise).

41: Throwing of objects over the balconies or from windows.

42: Smoking within the apartment (a cleaning and deodorizing fine will also apply)

GUEST COURTESY

43: For the comfort of all our guests, we ask that noise is kept to a minimum so everyone can enjoy a peaceful and comfortable stay.

44: We request that any non-registered visitors leave all suites by 22:00 (10pm) each evening.

MAXIMUM CAPACITY PER SUITE

45: The Gallery Accommodation Limited adheres to the following maximum suite capacities at all times: Forest Suite : Maximum people staying 2, Maximum visitors 2

Cloud Suite: Maximum people staying 2, Maximum visitors 2

Entire property: Maximum people staying 4, Maximum visitors 2

ADDITIONAL GUESTS STAYING IN APARTMENTS

46: When booking please ensure all guests that will be staying are included in the booking. Upon check in you will be asked to confirm the people staying.

47: If additional people are found to be staying, the person that made the booking will be charged $200.00 per night for every person that stayed that was not on the original booking.

48: Refusal or failure to pay will result in immediate Eviction.

INTERNET

49: Complimentary WIFI internet is available at The Gallery Accommodation Limited.

LIMIT OF LIABILITY

50: We do our best to ensure your reservation arrangements are satisfactory, however The Gallery Accommodation Limited does not accept any liability whatsoever for any injury damage, loss, delay, additional expenses or inconvenience caused directly or indirectly by any events which are beyond our control including, but not limited to, war, civil disturbance, terrorism, fire, floods, acts of God, acts of Government or of any other authorities, accident to or failure of machinery or equipment, maintenance requirements or industrial action.

MINIMUM LENGTH OF STAY

51: A minimum length of stay is 2 nights. If you reserve a suite you agree to stay for the required 2 nights minimum .

52: Any changes or cancellations (within the cancellation period) are subject to a penalty and may result in forfeiting of any pre-payments and/or deposits.

PET POLICY

53: The Gallery Accommodation Limited does not permit pets at the premises. An animal is considered a breach of your accommodation conditions and you will be asked to leave or remove the animal.

54: Guide dogs are permitted and must have a medallion on their collar with the registration number and the owner must also carry a laminated pass (with the owner and dog’s name).

55: Visually impaired guests that require a Guide Dog can only book the Forest Suite Apartment.

56: Guide Dogs must have a current vaccination certificate and be up to date with flea and worm treatment.

57: Guide Dogs are required to be harnessed in public areas. Please advise ahead of time if you will be travelling with a Guide Dog.

PHOTOGRAPHS AND DESCRIPTIONS

58: Whilst care is taken to ensure that the photos and description of our facilities and services are accurate, these are continually being changed, upgraded, and on occasion, removed from service. If any feature or facility is essential to you in choosing a particular property, we highly recommend speaking to one of our reservation specialists, who will assist in your decision making process and if that feature or facility will be available during your stay. Descriptions are based on information available at the time of publishing and may vary or change at any time.

59: Maps and location photographs are shown for general information only and highlight places in surrounding areas. Actual suites occupied may vary in decor and inclusions from those shown in photographs.

PHOTO IDENTIFICATION

60: Valid photo identification (ID) matching the name of the main guest within the reservation must be presented at time of check-in/arrival. This is required in order to verify your identity for hotel security purposes. A valid New Zealand driver’s license, New Zealand issued gold card or an international passport are all acceptable forms of photo identification.

61: As per our privacy policy, any personal information contained on the collected identification will not be on-sold; will be securely stored and carefully disposed of at the end of its usefulness.

RATES

62: All rates are quoted in NZ$ (New Zealand dollars) and are per apartment per night and include 15% goods and services tax (GST).

63: Rates within reservations that have a valid confirmation by The Gallery Accommodation Limited will be honoured.

64: Rates that have been quoted are not confirmed until a valid confirmation email has been received from The Gallery Accommodation Limited and therefore subject to change.

65: The Gallery Accommodation Limited reserves the right to amend rates that have been confirmed at incorrect rates due to human or distribution errors.

RIGHT OF ENTRY

66: In the event that The Gallery Accommodation Limited has a legitimate cause for concern or if the guest has not been seen nor been able to be contacted over a period of time, the apartment may be entered by an accommodation representative to ensure the safety and comfort of all guests.

RIGHT TO REFUSE ENTRY

67: The Gallery Accommodation Limited reserves the right to refuse a guest entry to the accommodation for any reason whatsoever including where the guest has engaged in conduct on a previous occasion adverse to the accommodation.

SECURITY AND LOSS PREVENTION

68: The Gallery Accommodation Limited buildings are secure environments and we do everything possible to ensure security levels are maintained, and we ask that our guests do so as well. However, The Gallery Accommodation Limited takes no responsibility for any personal possessions that are lost, stolen or misplaced whilst on the premises.

SILENT BOOKINGS

69: Silent bookings, also referred to as incognito bookings are not accepted. Valid photo identification is required upon arrival and our accommodation system must be able to reference correctly all guests within our accommodation. Guest information is kept secure for post stay auditing purposes and may be provided upon legal demand from the authorities. If you wish to stay under a false name or require your details to be erased from our system after your stay, we regret that this request cannot be actioned and understand that you may choose alternate accommodation where your request can be met.

SMOKING & VAPING POLICY

70: All apartments at The Gallery Accommodation Limited are non-smoking and non-vaping, smoking or vaping in the apartments is not permitted. A $500 Fine will apply to guests who do not adhere to this policy.

71: Apartments have outdoor balcony areas with ashtrays where smoking is permitted.

THIRD PARTY SELLING

72: The Gallery Accommodation Limited does not permit resale to a third party or for trade purposes without prior consent and/or written agreement.

73: The Gallery Accommodation Limited reserves the right to accept or reject any such reservations. This also applies to group reservations and to negotiated corporate rates that are resold.

TRAVEL INSURANCE

74: We highly recommend all our guests to have an appropriate level of travel insurance. Travel insurance can be arranged by many travel agents.

GUESTS OVER 12 & UNDER 18 YEARS OF AGE

75: All guests over 12 and under the age of 20 must be accompanied by a parent/guardian or an individual over the age of 20. The property has the right to refuse any booking when the legal guardian cannot provide current photo I.D. when requested at check-in.

NO PARTY POLICY

76: The Gallery Accommodation Limited has a strict -No Party Policy, and we would not recommend any guests booking an Apartment for a party or any other private event as you risk being fined and evicted.

REQUEST POLICY

77: Although every effort will be made to satisfy any specific requests, we cannot guarantee them.

78: Should you consider the apartment you have booked not suitable, upgrades or relocations can be requested subject to availability and at an additional cost. Guests wishing to change rooms after check-in will incur a cleaning fee of $100.00 if the apartment has been used.
